Asked Questions
The first step is to any catering is to set a budget
and determine how much money you realistically want to spend for
your event. When calculating your budget keep in mind that there
are state tax charges and labor charges ( for staffed events) .
All
of our prices are based on per person charges.
Questions to ask yourself ……..
- What
type of party do I want to have? plated or buffet dinner, cocktail
party, cookout etc……
- How
many people do I want to invite?
- Will
I pick the food up or do I need it to be delivered?
- Do
I need the caterer to provide wire chafers and sternos for my
party?
- Do
I need plastic plates, utensils and cups from the caterer?
Menu Selection Process
- Select
your menu
- Final
selection must be submitted to the Catering Department at least
two weeks in advance; otherwise, items selected cannot be guaranteed.
- Review
the event sheet provided to you by the catering department that
details your event what is listed is what will be provided.
Payments
- All
Event sheets must be signed by the person in charge and returned
with 50% non refundable deposit within seven (7) days of receipt.*
- Full
payment for the function must be received 72 hours prior to the
event. Payment must be in the form of cash, credit card or certified
check, unless prior arrangements have been made. If payment is
made by personal check, it must be received no later than two
(2) weeks prior to the event along with the final guarantee.
Tax Exemption
If the client’s organization maintains tax exempt status,
the client must provide Henrys’ Soul Cafe with a valid tax
exemption certificate and I.D. number issued by the state in which
we are located. These must be provided by the date of the function.
State tax law prevents us from honoring any organizational tax exemption
without securing payment directly from the organization in the form
of Organizational Check or Credit Card issued directly to the organization.
Government groups must use a government credit card with a tax exempt
number or government purchase order to obtain tax exempt status.

Please note that for weddings and similar events payment plans
can be made.
Guarantees
- It
is imperative that this office be notified of the exact number
of guests attending at least three (3) business days prior to
the scheduled date of the function. The number of guests given
will serve as the guarantee for which we will prepare the agreed-upon
menus and for which you will be charged. Henry’s Soul Café
will make every effort to accommodate and serve the same menu
to those attending in excess of five percent (5%) of the guaranteed
attendance. However, we reserve the right to make substitutes
in menus and seating for those guests in excess of the guarantee.
- If
a guarantee of attendance is not received three (3) business days
prior to the function, the estimated attendance, as indicated
on your function sheet, will become the guaranteed attendance.
Deliveries
- Caterings
can be delivered if they are booked with enough notification.
The delivery fee at the minimum will be $25.00, which covers a
25 mile radius from the store.
Cancellations
- All
cancellations must be submitted in writing.
